Terms & Conditions

At Summitstar Studios, we are committed to providing every client with the highest quality production experience. To ensure fairness, efficiency, and professionalism in scheduling, the following booking and cancellation terms apply to all sessions.

Booking Policy

  • All sessions require a deposit equal to the full estimated cost of the session at the time of booking.

  • A session is not considered confirmed until the deposit has been received.

  • Deposits are non-refundable and non-transferable but will be applied toward your final balance.

  • Payment of any remaining balance is due at the conclusion of the session unless otherwise agreed in writing.

  • Rates and estimates are provided in advance; the final cost may be adjusted if session length or services exceed the original estimate.

Cancellation Policy

  • All cancellations are subject to fees. Cancellations must be submitted in writing and confirmed by Summitstar Studios.

  • More than 7 days prior to the session: 50% of the total session fee will be charged.

  • Within 7 days of the session (including same-day cancellations and no-shows): 100% of the total session fee will be charged.

  • Deposits will be applied toward any cancellation fees due.

  • Rescheduling: One reschedule is permitted without penalty if requested at least 7 days prior to the session. Rescheduling within 7 days of the session will incur a 50% rebooking fee.

  • Studio cancellations: If Summitstar Studios must cancel or reschedule, all deposits and fees will be fully refunded or credited to a future booking, at the client’s choice.

  • Force Majeure: In the event of circumstances beyond our control (such as acts of God, natural disasters, government restrictions, or civil disturbances), deposits and fees will be credited toward a rescheduled session.

Rental Items Policy

  • Rental Confirmation: Rental of equipment or studio items must be arranged in advance and confirmed in writing.

  • Payment: All rental fees are due in full at the time of booking. Rental costs are non-refundable.

  • Insurance Requirement: Clients are required to provide a valid Certificate of Insurance (COI) naming Summitstar Studios as an additional insured and loss payee before the release or use of any rented equipment.

  • Responsibility: Client assumes full responsibility for all rented equipment and agrees to return items in the same condition as provided.

  • Damage or Loss: Client shall be liable for any damage, theft, or loss of rented equipment, regardless of cause, during the rental period. Repair or replacement costs, as determined by Summitstar Studios, will be billed to the client.

  • Use Restrictions: Rental items may only be used within the scope of the booked session or approved project. Sub-renting, loaning, or removing equipment from the premises without prior written consent is strictly prohibited.

  • Late Returns: Any equipment not returned at the agreed-upon time may incur additional rental charges.

By booking a session or securing rentals with Summitstar Studios or submitting a deposit, you acknowledge that you have read, understood, and agreed to these Terms & Conditions.
